Zoom data deletion

Last updated date:

How to disconnect Zoom, revoke Marketplace authorization, and delete Zoom-derived information from Seedling.

1. Choose the appropriate action

Disconnect in Seedling
Revokes access when supported and removes the Zoom credential and Zoom-derived workspace data while leaving the Seedling workspace active.
Remove in Zoom
Revokes the Zoom Marketplace authorization. A verified Zoom deauthorization event triggers the same local integration purge.
Email a request
Use this when you cannot access the Seedling workspace or need to exercise a separate privacy right.

2. Disconnect Zoom in Seedling

For a Marketplace installation, Seedling attempts Zoom token revocation and completes the local purge even when Zoom is unavailable or has already invalidated the token. For a customer-managed app, the organization should also deactivate or rotate the app credentials in Zoom when appropriate.

  1. Sign in as an administrator of the affected Seedling workspace.
  2. Open Apps or Connections and select Zoom.
  3. Choose Disconnect, review the warning, and confirm.
  4. Wait for the disconnect and local purge to complete before reconnecting the same Zoom account.

3. Remove the Marketplace app in Zoom

Removing the app in Zoom does not depend on the access token remaining valid. Once the installation is revoked, ordinary Zoom events no longer enter the workspace.

  1. Open the Zoom App Marketplace or the Zoom account’s app-management console.
  2. Locate the Seedling app and remove or uninstall it from the Zoom account.
  3. Zoom revokes its authorization and sends Seedling an app-deauthorization event when available.
  4. Seedling verifies the event, marks the installation revoked, and runs the same asynchronous local purge used by an in-product disconnect.

4. Request deletion without Seedling access

Email privacy@tryseedling.ai from a work address associated with the organization. Include the organization, Seedling workspace if known, Zoom account owner or administrator email, and a request to remove the Zoom installation. Do not send OAuth tokens, client secrets, recordings, transcripts, or identity documents unless Seedling provides a secure method.

Seedling will verify identity and authority before acting. When the Seedling customer controls the information, Seedling may coordinate with that customer and assist it as a processor or service provider.

5. Information removed from active systems

Disconnecting Seedling does not delete or modify the original information held by Zoom. Approved Seedling operating configuration may retain a bounded approval or materialization record, but its Zoom evidence, source-derived text, payload, and decision context are removed or redacted.

  • Encrypted Zoom access, refresh, or customer-managed app credentials.
  • Zoom webhook payloads and delivery receipts for the disconnected workspace.
  • Zoom synchronization records and provider-native staging data.
  • Zoom sources, meetings, participant records, recording metadata and stored files, transcripts, and meeting summaries held by Seedling.
  • Source objects, chunks, embeddings, source entitlements, and source-linked activity, fieldwork, chat, exploration, and verification evidence owned by the Zoom integration.

6. What may remain after deletion

Authorization sessions
Expired or consumed Marketplace authorization-session records contain no Zoom tokens and are deleted within one day.
Delivery records
Successfully processed raw webhook payloads are erased immediately. Bounded receipt metadata is retained for no more than 30 days unless removed earlier by the disconnect purge.
Backups
Deleted information may remain in encrypted, access-restricted backups until expiry, ordinarily within 35 days after active-system deletion. It is deleted again if a backup is restored for disaster recovery.
Lifecycle audit
Seedling may retain workspace and connection identifiers, action, outcome, bounded reason codes, and timestamps needed to demonstrate deletion and protect the Service. These records contain no Zoom credentials or raw Zoom payloads.
Legal records
Limited records may be retained longer when required for security, fraud prevention, disputes, tax, accounting, or other legal obligations.

7. Confirmation and related guidance

Seedling will confirm receipt of an emailed deletion request and provide a completion or decision notice after verification and processing. Questions may be sent to privacy@tryseedling.ai; product troubleshooting may be sent to support@tryseedling.ai.
